Until now, the configuration of this function depended largely on each user. However, with this new update, Google Workspace administrators will be able to set data retention policies at the organizational level.
New Options for Administrators
Starting in late May 2025, control over Gemini conversation history will be in the hands of administrators. By default, the “Gemini conversation history” setting will be enabled, and conversations will be retained for a period of 18 months, which aligns with the current behavior of other Google applications. If no changes are made, this default setting will be automatically applied to all users.
However, administrators have the option to completely disable this feature. If the history is disabled, chats will only be saved in user accounts for a maximum of 72 hours. This limited period is necessary for Google to provide the service and process feedback, but it ensures that information is not retained beyond what is necessary for those basic functions. It’s important to note that this new administrative setting will override any individual adjustments that users have previously made in their “Gemini App Activity.” End-users will not be able to override the administrator-defined setting, which ensures compliance with the company’s data retention policies.
